When you create a new Booking, the booking can be edited until the Booking is marked 'Arrived by the carrier operations team (see How the Progress screen manages the Workflow).
If a Booking is Created and before the Administrator team move the booking to 'Confirmed' , you can use the 'Edit Booking' button from the Dashboard to give you an editable copy of your booking information.
You note that you cannot change the booking origin and destination, nor the amount of containers. This is because the rates and allocated containers may not be available for new bookings. However, Commodities, Notes, References, files, consignee details etc can be edited.
There are a couple of features of the 'Edit Booking' form that is different from when you booked.
The first is the 'Booking Notes' panel. In here you will see any notes you added when you originally created the Booking but you are also able to add new Notes to the booking as you edit the details.
Notes entered here will also be presented on the administrator screens. This is an effective way to give any extra instructions to the carriers operations team.
It is on this screen that Administrators can also add messages back to you on that specific Booking. you will recognise these messages as the details of the Administrator that wrote the note are displayed along with the note.
Secondly, Users will be presented with a set of Shipping Information fields relevant to the order. In the example below, the Commodity fields are required by the Forwarder/Carrier in order to confirm the Booking.
If the Forwarder has integrated their back-end systems with Kontainers, the Commodity Information may be pre-filled by their Customer Teams/Agents.
Editing Shipping Information
Once a booking is Confirmed, the supplier will add further details that can also be edited or commented on until the shipping has Arrived.
The Container number(s) and Seal Number(s) are added to the form. Note, in some cases there are multiple seal numbers per container. To update or add a new seal number simply use a comma to separate the various seal numbers.
Users will also be able to decide whether they need a Seaway/Express Bill of Lading or Original Copies.
Note that a booking can be made per container but when editing the Shipping Information, the system will require at least one Commodity is added to the SI form.
Save versus Submit
Whether you are editing Booking Information or Shipping Information, there is a choice of 'Save' or 'Submit Bi'/'Submit SI'.
When you select 'Save' the edits you have created will be stored on the system and can be returned to later for further editing, but will not be submitted to the system Administrators.
Only when you select 'Submit' sill the new booking information/shipping information be sent to the Administrators for processing.
