The preferred Kontainers approach is to have users linked to Companies rather than a separate login for each User on the system. This offers a facility for Customers to collaborate as a team in a single Company account. It also allows Forwarders to group bookings and payments by Company to simplify the back end processes and .
In practice we use the concept of Primary Users and Secondary. We offer (limited) control to the Customer company so that the the licensed User (the Primary users) can invite other members of the company (Secondary User) and permit them create and administer the same Bookings together.
Difference Between a Primary and Secondary User
A Primary User has the Ability to Add/Delete other Primary and Secondary Users. Other than that there is no difference in what the user can do on the Company account.
When a new user Secondary or Priamary is added to the Company account via the Team Settings UI they will automatically share the Bookings and Contacts list. When one of the team adds a new booking or contact, all users on the team will be able to manage that booking or use/manage that contact.
Creating a Team
A Primary User can go to their Settings page and select the 'Team Settings' tab. In Team settings you can invite or remove Primary and Secondary users.
To create a secondary user, enter their email address and select 'Invite Team Member'. (The system will only allow you send one invite per email address).
The user will be sent a Registration email and invited to create a Secondary User account. (We discuss further down how to create a Primary account). This invite email will be valid for 1 week. If the email is expired, Primary Users can resend the invite from the Pending Invites list.
KYC is defaulted to 'APPROVED' so once the new Secondary user completes the form they can log in immediately.
|Legal Bit: a Forwarder/Carrier reserves the right to 'Deny' a Secondary user access to their Kontainers Booking platform even if they have been invited as a member of the Customer Team. You can read more about that here.|
Creating a Primary User
To add a second Primary user, scroll down to the list of Team Members and select the 'Primary' checkbox.
Once this option is selected, the Secondary user is now a Primary user and has all the permissions of that user. De-seleting Primary will revert his User to a Secondary User role.
Note: For Operational reasons Primary Users cannot see their record in the list of User Records. This is to prevent the 'last Primary User' from deleting themselves and preventing the use of this feature.
Customer Teams and notification emails
Email notifications on a booking are 'linked' to the person that created the booking and not the whole team. This is to avoid 'spamming' the other team members while, at the same time, making sure that the team member is made aware immediately of any changes made to their booking.
Note: Customer Teams can be enabled or disabled for all users by contacting Kontainers support team or your Kontainers customer success manager. However, while enabling is straightforward, there are significant data implications with Bookings etc when asked to disable Customer Teams so this should be factored in to any decision to disable Customer Teams.
